📅 - Ireland's Waterford Corporation (waterfordcorp.ie) hasbecome the first customer for M@ilMeter, an e-mail management system thatenables organisations to manage e-mail communications more effectively,deliver productivity improvements ands reduce costs. M@ilMeter wasdeveloped by Waterford Technologies (waterfordtechnologies.com), an ICT group.
Anthony McElroy, head of Information Systems for Waterford Corporation,explains that his local authority was very interested in the best possibleuse of email and Internet and initially became a pilot site for the product.
"Correct email usage is essential for good service delivery," saysMr.McElroy. "Over two years ago we introduced a written email policy forall our staff. This has been updated and revised over the period and all200 employees using email have been informed of our internal regulationsregarding the correct use of email.
"However, having access to software which can monitor the e-mail system toensure compliance with our regulations has been very valuable. We werealso delighted that the reports generated by M@ilMeter has proved to us thatour staff adhere to our rules."
M@ilMeter was initially installed on a standalone server in the pilot phase.Waterford Corporation worked closely with Waterford Technologies tofine-tune the product, providing advice from a practical perspective.
Waterford Corporation will now install M@ilMeter onto a dedicated server,where it will provide reports on email usage across all 200 employees. "Weagreed to the pilot originally as we like to support local companies," saysMr.McElroy. "However, we would not have become the first customer unless itproved its worth. Now, I can review email logs in realtime, and ensure thatour email usage is effective and in line with regulations."
The M@ilMeter product interfaces directly to an organization's e-mailserver (Microsoft Exchange or Lotus Domino) and tracks each e-mail that issent or received by the server. M@ilMeter's "Collection Agent" analysesthese e-mails and makes the resulting information available to users via aWeb browser through its Information Access Engine. Using its intuitiveinterface, managers can find the information that they need to pinpointtrouble spots within their e-mail system and organization.
"One of the key attractions for organizations such as Waterford Corporationfor our product, is that they can enforce regulations without upsettingemployee privacy," says Nolan. "The reports generated do not examine thecontent of the mails, merely the frequency, source and recipients,attachments and the subject line."
